COLOWIDE Co., Ltd. and its subsidiaries (hereinafter referred to as the “COLOWIDE Group”) have established the “Personal Information Protection Policy” (hereinafter referred to as the “Policy”) in accordance with the Act on the Protection of Personal Information (hereinafter referred to as the “Personal Information Protection Law”) regarding personal information obtained from customers and all persons (including shareholders, employees, etc.; hereinafter collectively referred to as “Customers”) involved in the Group's business activities. Compliance with Laws and Regulations

The COLOWIDE Group will comply with the Personal Information Protection Law, other related laws and regulations, guidelines, and this policy when handling personal information. The definitions of terms used in this Policy shall be in accordance with the provisions of the Personal Information Protection Law and other related laws and regulations, unless otherwise specified in this policy.

Proper Acquisition

The COLOWIDE Group will acquire personal information in an appropriate and fair manner, and will clearly state or publicly announce the purpose of use of such information to the person in advance, or notify or publicly announce such purpose promptly after acquisition, except in cases where exceptions are permitted by laws and regulations.
The scope of personal information acquired by the COLOWIDE Group shall not exceed the extent necessary to achieve the said purpose of use.

Purposes of Use

The COLOWIDE Group will use customers' personal information within the scope necessary to achieve the purposes listed below. The COLOWIDE Group will take necessary and appropriate security control measures to prevent leakage, loss, or damage of customers' personal information. Provision of Personal Information to Third Parties

In principle, the COLOWIDE Group will not provide customers' personal information to third parties without obtaining the prior consent of the person. However, in the following cases, personal information may be provided without the consent of the person in question to the extent that it does not violate related laws and regulations.

Consignment of personal information

The COLOWIDE Group may outsource all or part of its operations handling personal information within the scope necessary to achieve the above purposes of use. In such a case, the COLOWIDE Group will provide the information to the consignee after concluding an outsourcing agreement with the consignee that stipulates necessary matters for appropriate supervision, including the maintenance of confidentiality, and will thereby exercise necessary and appropriate supervision over the consignee.

Creation and Use of Pseudonymized Information

  • When creating and using pseudonymized information in the COLOWIDE Group, the COLOWIDE Group will establish the necessary processing standards in accordance with the Personal Information Protection Law and other related laws and regulations in order to make it impossible to identify specific individuals, and will process such personal information in accordance with these standards.
  • When creating Processed Pseudonymized Personal Information, the description or personal identification code deleted from the personal information and specifically selected processing method (deleted information, etc.) used to create the information and the information shall not be provided to other than the director in charge of personal information protection, the personal information protection manager, the on-site manager of each department that creates the relevant Processed Pseudonymized Personal Information, the on-site manager of each department who creates the relevant Processed Pseudonymized Personal Information or managers who work on the creation assigned by the on-site manager.   • When creating processed pseudonym information, the COLOWIDE Group will publicly announce the purpose of use, use the information within the scope of that purpose, and delete the information without delay when there is no longer a need to use it.
  • When creating or using Processed Pseudonymized Information in the COLOWIDE Group, said Processed Pseudonymized Information shall not be cross-checked with other information, and the individual whose personal information was used to create said Processed Pseudonymized Information shall not be identified.

Restrictions on the Acquisition of Sensitive Personal Information

In principle, the COLOWIDE Group will not acquire personal information that includes the following information. However, if a customer voluntarily provides such information, it will be deemed to be with the consent of the person concerned.

  • Matters related to ideology, creed, and religion
  • Matters concerning race, ethnicity, family origin, legal domicile (excluding information concerning the prefecture in which the person resides), physical or mental disability, criminal record, and other matters that may cause social discrimination
  • Matters concerning the right of workers to organize, collective bargaining, and other acts of collective action
  • Matters related to participation in collective demonstrations, exercise of the right to petition, and exercise of other political rights
  • Matters related to health care and sexual life
